CRM Basics

Tasks to Complete

  1. Perform a Member Search via the back end, Save the Query for later use
  2. Export All Records via Standard Export, download and save the file
  3. Set up a bulk email to the results list from a Member Search, using an email template; NOTE: You should ONLY send emails to test records!
  4. Set up the following Notification sets to complete this task:
    • Membership Renewal Reminder
    • Membership Renewal Reminder (Expired)
    • Membership Renewal Reminder (last day)
    • Registration - Auto-Approved Member Validation
    • Registration - Member Approval

Events 

At completion of this Task-Based Training you should:

  1. Understand how to create a real-world Event in context of your organization.
  2. Understand how to use YM Event Registration Forms & Event Tickets to execute your organization's events in YM.
  3. Have walked through the Event Registration workflow first-hand on your site.

Content

At completion of this Task-Based Training you should:

  1. Feel confident adding & editing content in your Custom Pages as well as Content Areas.
  2. Understand how to use the Menu Management tool.
  3. Have set up your navigation menu, and added content to at least two Custom Pages.

  1. Create Custom Pages for each sub-page you'll need; Enter ONLY Page Title & Page ID, Leave the page content Blank at first
  2. Set up your navigation menu using Menu Management tool
  3. Revisit your Custom Pages, add content to at least two of the pages to complete this task; DO NOT need to finish content for all Custom Pages to complete this task! You can continue to work through them as you wish until your site launches (and even afterward!).
  4. Please set up at least one Content Area from each of the following groups, and the Member Alert Footer to complete this task; You DO NOT need to finish setting up all of these to complete the task! Ecommerce

At completion of this Task-Based Training you should:

  1. Understand how to serve a member calling into your office to make a store purchase, renew or purchase new membership.
  2. Understand how to make adjustments and apply payments to existing invoices.
  3. Have fine-tuned the look and messaging of your Invoices.

  1. Edit a record to make them expired as of 1 day prior, then use the "Sign in as" feature to renew and create an invoice
  2. Edit a record to make them expired as of 1 day prior, then search the record and generate a Membership invoice through the back end
  3. Apply an adjustment to an invoice, and then apply a payment, leaving notes for both
  4. View your invoices, add branding/additional language as desired above and below the invoice content macro. NOTE: You need only to make a simple/basic edit in order to complete this task. You may continue working to finalize your invoices up until (and afterward) launch.

Data Import Prep 

At completion of this Task-Based Training you should:

  1. See your member & non-member records in your YM database.
  2. Have validated the accuracy of your data within YM via spot-checks.
 Tasks to complete:
  1. Provide a sample spreadsheet from current member database. For the first section of this Assignment, you'll need to provide a spreadsheet that contains at least 15 records, and every member profile field currently stored in your member database.
  2. As a test - Move ONLY 15 to 20 members from your current member data spreadsheet, into the YM Import Spreadsheet. This is only a test to show how the fields map to the YM template. 
  3. Prepare your full YM Import Spreadsheet. Time to use what you've learned and get your data ready to be imported into YM. This is certainly a "Measure Twice, Cut Once" exercise! We want to make sure your data is accurate, so do not hesitate to reach out with questions or concerns.
  4. Send your completed import template to your Implementation Specialist to review and import.
     
Optional            
Master/Sub-Accounts

-Know what it means within the YM system to establish the relationship between a master & sub-account.
-Know that you must establish the link between master account and sub-account Member types within the master account Member type.
-Have an understanding that there must be additional seats allotted within the Member Profile to enable master account capability.

 Create an Organization Master test account and then link one or more test Individual members to the master account.        
             
Launch Preparation            
Real-Time Processor Setup Choose a payment processor (listed here) so that you can accept real-time payments through your YM site. Sign up for a payment processor, and complete the integration on the backend of your YM site.        
Front End Beta Tested / Pre-Launch Checklist The pre-launch check list is a tool provided by your Implementation Manager that will help you to cover all of the bases when it comes to preparing your site for launch. Complete pre-launch checklist.        
Website Announcement Preparation / Welcome E-mail This announcement lets your members know of your new site and provides them with instructions on how to login to the site and reset their password. An example can be found here. Create Welcome E-mail template to send to members when the site is launched.        
DNS Changes This step will be to make your YM site live by switching your DNS to point to your YM site. -Add a CNAME or alias record to your DNS zone so that www. [domain].org points to clusterxx.ymem.net.
-Point the root A Record ‘@’ to the IP address 24.73.102.xxx so that the site works without the WWW in the address bar.  
-Create or modify your SPF (TXT) record as: “v=spf1 mx include: spf.ymem.net  ~all” (without the quotation marks) or edit the existing record and add “include: spf.ymem.net” (without the quotes).
